Create and Dispatch a Garage Door Job
Create a garage door job and get it on the right tech’s schedule.
The scheduler is the dispatch board at /scheduler. Service Areas are saved on the business settings (schedulerServiceAreas). The office lives on /scheduler, not on a spreadsheet. The Schedule Menu on the left is the mini-month, the team calendar toggles, the Unassigned switch, and service Areas colored by ZIP.
Toggle team calendars and Unassigned from the Schedule Menu. Color tiles by Employee or Area (ZIP groups). See Anytime jobs in the top band (flag isAnytime or legacy midnight + ≥8h). Status-aware tiles: scheduled fill, OMW/In Progress outline, completed/paid grey, unpaid red outline. US holidays in day headers when enabled in Calendar Settings. Open estimate View on Schedule from the estimate detail Actions card. Drag-and-drop reschedule with optional customer notify (Timeline / Column). Click the unscheduled icon (pink count badge) or open the Unscheduled tab. Drag a job onto a day/slot, or use Schedule on the card. Confirm time/technician; notify the customer when prompted (where wired). Set view to Day (or Dispatch). Lines show estimated miles/minutes; Directions opens Google Maps. Anytime and unassigned pins are not sequenced on routes. Those areas save on the business as schedulerServiceAreas.

Example: dispatching an unassigned no-cool call

The office lives on /scheduler, not on a spreadsheet. The Schedule Menu on the left is the mini-month, the team calendar toggles, the Unassigned switch, and service Areas colored by ZIP. Those areas save on the business as schedulerServiceAreas. View, menu, tile fields, color-by, and holiday checkboxes save in that browser only. A dispatcher who switches computers sets them again. Another dispatcher does not inherit them.
An unscheduled no-cool job shows on the Unscheduled badge. Drag it onto a day and technician, or use Schedule on the card. Confirm the time. Where notify is wired, the prompt can text or email the customer. Anytime jobs sit in the top band. They are flagged isAnytime, or they are the older pattern of midnight plus a duration of at least eight hours. They are not sequenced into a driving route.
Tile color tells status without opening the job. Employee or Area coloring comes from Calendar Settings. A scheduled job uses a fill. On my way and in progress use an outline. Completed or paid goes grey. Unpaid uses a red outline. US holidays show in the day header only after the gear icon enables them. Business hours only, timezone, and which fields appear on the tile are the same gear menu.
MAP on a Day or Dispatch view pins jobs, estimates, and events. Routing draws lines with estimated miles and minutes for the employees you filter. Directions opens Google Maps. Anytime pins and unassigned pins are not part of that sequence. Column, Timeline, and Routes are the denser grids when the week is crowded. Deep link a standup with /scheduler?tab=timeline&calView=day. Technicians appear only when Show on Calendar is on. Map pins need a geocoded service address. Route Planning optimization needs Google Maps; the calendar itself still works without it.
Estimate detail can open View on Schedule so a sold estimate is placed without hunting the job number. Drag-and-drop reschedule on Timeline or Column can notify the customer. Job edit permission is required to move work.

Prerequisites

  • Job edit permissions; technicians with Show on Calendar.
  • Geocoded addresses for map pins; Google Maps optional for Route Planning optimization.

Edge cases dispatch hits before lunch

Unassigned is a filter, not a status on the job board. Turning it on shows work that has no technician. It does not unschedule a job you already placed. Areas are ZIP colors for the map and the tiles. They do not refuse a booking outside the ZIP. A technician can still be dragged onto a job in another area.
Preferences stored per browser mean the office iPad and the dispatch desktop can show different tile fields on the same day. The jobs are the same. If a tile looks "missing" a field, check the gear icon on that device before you edit the job. Holidays appear only after they are enabled. They do not block scheduling on that date.
Anytime jobs stay out of the routed sequence on purpose. If a maintenance visit must be ordered between two timed stops, give it a real start time instead of leaving it Anytime. Show on Calendar off hides the person from this screen even when they have jobs. Those jobs still exist on the job list.
A no-cool call that is still unassigned is not on a technician row until you drop it on a day. The pink badge is the count of that queue. Scheduling it can notify the customer when that prompt is wired. If you only wanted the office to see it, leave the notify box off. The job remains on the job list either way.
