Time Clock & Compliance is the workflow at /tracking/time-clock. Tracking includes four related areas: Time entries can capture GPS location on clock-in, clock-out. The technician opens Time Clock at /tracking/time-clock, or the user-menu shortcut when that shortcut is on. Clock in can attach a job and a note.
Open Tracking from the main menu. Use the sub-navigation bar: - Time Clock to /tracking/time-clock - Time Management to /tracking/management - Compliance. Reports to /tracking/reports Technicians can also reach Time Clock from the user menu shortcut when enabled. Clock in / clock out with optional job selection and notes. View today’s entries and weekly hour summary. See current clock status (in, out, on lunch, on break). Time Management (admin/manager) - Tabs: Approvals, Job time, Summary, Entries, Rules. Approve or reject pending entries; admin-edit times. Configure time clock rules (lunch windows, overtime thresholds, location requirements). Business time summary reports by date range. Compliance Reports - Run reports for a date range and optional user filter. View violations: missed/short lunch, overtime, rapid punch, missing location, distance exceeded, etc. Inspect violation detail modals and export/download where offered. /tracking/time-clock step 5 is Clock in for the day.

Overview

Tracking includes four related areas:
ScreenPathAudience
Time Clock/tracking/time-clockField staff—daily punch, breaks, job link
Time Management/tracking/managementManagers—approvals, edits, summaries, rules
Compliance Reports/tracking/reportsManagers—violations, exports, audit
Live Tracking/trackingDispatch—map view (separate guide)
Time entries can capture GPS location on clock-in, clock-out, and break start (when the browser or device allows), supporting distance and location compliance checks.

How do you clock in / clock out with optional job selection and notes?

Clock in / clock out with optional job selection and notes.
Time Clock (self-service)
  • Clock in / clock out with optional job selection and notes.
  • Start/end lunch and start/end breaks.
  • View today’s entries and weekly hour summary.
  • See current clock status (in, out, on lunch, on break).
  • Capture geolocation on supported actions.
Time Management (admin/manager)
  • Tabs: Approvals, Job time, Summary, Entries, Rules.
  • Approve or reject pending entries; admin-edit times.
  • Configure time clock rules (lunch windows, overtime thresholds, location requirements).
  • Business time summary reports by date range.
  • Auto-approve settings where configured.
Compliance Reports
  • Run reports for a date range and optional user filter.
  • View violations: missed/short lunch, overtime, rapid punch, missing location, distance exceeded, etc.
  • Inspect violation detail modals and export/download where offered.

Prerequisites

  • Time clock feature enabled for your business (confirm under Time Management → Rules if punches fail).
  • Technicians need accounts and mobile or web access to Time Clock.
  • Managers need permissions to approve entries and view reports.
  • Location-based rules require technicians to grant browser/device location permission.

Step-by-step

Clock in for the day

  1. Go to Tracking → Time Clock.
  2. Click Clock In.
  3. Optionally select an active job and add notes.
  4. Allow location if prompted—required when your business enforces geo rules.
  5. Confirm success; status shows as clocked in.

Take lunch or a break

  1. While clocked in, choose Start Lunch or Start Break.
  2. End the period with End Lunch or End Break when returning.
  3. Review entries in the today list for accuracy.

Approve team time (manager)

  1. Open Tracking → Time Management (/tracking/management).
  2. Start on the Approvals tab.
  3. Review pending entries; Approve or Reject with a reason.
  4. Use Entries to search history; Summary for payroll-oriented totals.

Run a compliance report

  1. Go to Tracking → Compliance Reports (/tracking/reports).
  2. Pick a date range (and user if filtering).
  3. Review violation counts by type and severity.
  4. Open individual violations for entry details.
  5. Export or download if your role shows export actions.

Configure rules

  1. In Time Management, open the Rules tab.
  2. Adjust lunch duration, overtime limits, location requirements, and related settings.
  3. Save—new punches are evaluated against updated rules.

Example: a technician who forgot to clock out at the supply house

The technician opens Time Clock at /tracking/time-clock, or the user-menu shortcut when that shortcut is on. Clock in can attach a job and a note. Lunch and break have their own start and end so those minutes are not counted as on-site labor. Today's entries and the weekly hour total are on the same screen. Status shows in, out, on lunch, or on break. Geolocation is stored on clock-in, clock-out, and break start when the device allows it. That location supports distance checks. It is not the live fleet map. Live pins are /tracking.
If they forget clock-out, a manager uses Time Management (/tracking/management) to edit the entry, not the technician's phone history. Approvals and rule summaries live on that screen. Compliance Reports (/tracking/reports) are violations and exports. A missing GPS point means permission was denied or the browser could not read location. It does not mean the shift did not happen. Correct the times in management, and treat a missing coordinate as a data gap.
Rules you configure are what the report flags. The clock does not decide overtime law for you. Job link on the punch is optional. A punch with no job is still a time entry. A punch tied to the wrong job should be edited before payroll, because employee payout and job cost both read that link. Someone without manager access sees their own clock, not the team approval queue.

Current limitations

  • Time Clock in the web app depends on browser geolocation; native mobile apps may offer better background tracking.
  • Compliance logic reflects configured rules—custom labor law scenarios may still need external payroll review.
  • Not all businesses enable auto-approve; backlogs require manager action on the Approvals tab.
